Reconnect Microsoft 365 on Windows
Use these steps after a work account has moved to a different Microsoft 365 organisation or tenant.
Do not disconnect anything under Windows Settings > Accounts > Access work or school unless support specifically instructs you. That connection may control Windows sign-in, device management, encryption and security settings.
Before you begin
- Confirm you can sign in at Outlook on the web with the final work email address.
- Save all open documents and send or copy any unsent drafts that exist only on the computer.
- Close Outlook, Teams, OneDrive, Word, Excel, PowerPoint and other Microsoft 365 apps.
1. Sign Office out of the old organisation
- Open Word or Excel.
Select File > Account.
- Sign out of the old work account.
Use Sign out beside the old organisation account, then close every Office app.
- Restart Windows.
This closes background Office sign-in components before the new account is added.
2. Reconnect Outlook
New Outlook for Windows
- Open Outlook settings.
Select View > View settings, or File > Account info.
- Remove the old mailbox.
Go to Accounts > Your accounts. Beside the old account, select Manage > Remove.
- Add the final work address.
Under Email accounts, select Add Account, enter the full email address, then sign in and approve MFA.
Classic Outlook for Windows
For a tenant migration, a clean Outlook profile is usually safer than reusing the old profile.
- Close Outlook completely.
- Hold Shift while starting Outlook.
In the profile picker, select Options > New.
- Name the profile.
Use a clear name such as Microsoft 365.
- Add the final work email address.
Enter the current password, approve MFA, and choose the new profile when Outlook opens.
Do not delete an old profile if it contains a local PST file or information that has not been checked by support.
3. Reactivate Word, Excel and the other Office apps
Open Word, select Sign in, enter the final work email address, choose Work or school account if asked, and approve MFA.
4. Reconnect OneDrive separately
Office sign-out does not sign OneDrive out. Select the OneDrive cloud icon, open Settings > Account, and choose Unlink this PC only when your organisation has instructed you to reconnect OneDrive. Then sign in with the final work address.
Stop and contact support if the sign-in box changes your email address to an unfamiliar onmicrosoft.com address, repeatedly returns to the old organisation, or asks you to let an unexpected organisation manage the device.
